Position Overview

The Senior Specialist plays a critical role in ensuring student progress, accountability, and operational excellence across application milestones and counseling initiatives. This role serves as a key liaison between students, counselors, and internal teams, managing complex workflows, tracking deliverables, and driving timely follow-through on high-stakes student outcomes.

Key Responsibilities

Student Management & Accountability

  • Proactively monitor student progress across registrations, required materials, deadlines, and deliverables

  • Conduct consistent student follow-up via email to ensure timely completion of tasks

  • Identify and address missed deadlines, disengagement, or risk factors; escalate when appropriate

  • Maintain clear documentation of all student communication

Application & Essay Process Support

  • Track essay drafts, supplemental requirements, and submission timelines

  • Ensure students remain on pace for application milestones and final submissions

Program Attendance Follow-Up

  • Ensure student participation in programs and webinars

  • Identify students requiring additional outreach or alternative session options

  • Support registration and attendance reconciliation across platforms

Data Management & Systems Oversight

  • Maintain accurate, up-to-date student records across internal systems (College Planner Pro, Prompt, spreadsheets, calendars)

  • Upload transcripts, documents, and correspondence

  • Track reminders, attendance, deadlines, and follow-ups to ensure data integrity

  • Conduct regular audits of student status 

Cross-Functional Collaboration

  • Partner closely with counselors, specialists, and leadership to align on student priorities and strategies

  • Participate in recurring team meetings and workflow planning sessions

  • Support counselors by translating strategy into execution and follow-through

Perform other duties as assigned.

Qualifications

  • 3–5+ years of experience in student services, academic advising, college counseling, program operations, or related field

  • Strong project management and organizational skills with the ability to manage large student caseloads

  • Exceptional written communication and follow-up skills

  • High attention to detail and accuracy across multiple systems

  • Ability to work independently while collaborating across teams

  • Experience working with application platforms, CRMs, or student management systems preferred

Minimum Qualifications

  • Bachelor’s degree

  • Strong computer skills with working knowledge of Google Workspace

  • Ability to successfully pass a background check and other pre-employment screening

Compensation

  • Hourly

  • $22–$26 per hour
