Position Overview
The Senior Specialist plays a critical role in ensuring student progress, accountability, and operational excellence across application milestones and counseling initiatives. This role serves as a key liaison between students, counselors, and internal teams, managing complex workflows, tracking deliverables, and driving timely follow-through on high-stakes student outcomes.
Key Responsibilities
Student Management & Accountability
Proactively monitor student progress across registrations, required materials, deadlines, and deliverables
Conduct consistent student follow-up via email to ensure timely completion of tasks
Identify and address missed deadlines, disengagement, or risk factors; escalate when appropriate
Maintain clear documentation of all student communication
Application & Essay Process Support
Track essay drafts, supplemental requirements, and submission timelines
Ensure students remain on pace for application milestones and final submissions
Program Attendance Follow-Up
Ensure student participation in programs and webinars
Identify students requiring additional outreach or alternative session options
Support registration and attendance reconciliation across platforms
Data Management & Systems Oversight
Maintain accurate, up-to-date student records across internal systems (College Planner Pro, Prompt, spreadsheets, calendars)
Upload transcripts, documents, and correspondence
Track reminders, attendance, deadlines, and follow-ups to ensure data integrity
Conduct regular audits of student status
Cross-Functional Collaboration
Partner closely with counselors, specialists, and leadership to align on student priorities and strategies
Participate in recurring team meetings and workflow planning sessions
Support counselors by translating strategy into execution and follow-through
Perform other duties as assigned.
Qualifications
3–5+ years of experience in student services, academic advising, college counseling, program operations, or related field
Strong project management and organizational skills with the ability to manage large student caseloads
Exceptional written communication and follow-up skills
High attention to detail and accuracy across multiple systems
Ability to work independently while collaborating across teams
Experience working with application platforms, CRMs, or student management systems preferred
Minimum Qualifications
Bachelor’s degree
Strong computer skills with working knowledge of Google Workspace
Ability to successfully pass a background check and other pre-employment screening
Compensation
Hourly
$22–$26 per hour
